Wondering If You Need Legal-for-Trade Calibration?

Ok…no second guessing here. We want to be clear, so as to remove any doubt or uncertainty you may have in making this determination.

While the terms “Legal-for-Trade” and “NTEP Approved” may not mean anything to you right now, they will be extremely important certifications in the future depending on the business you’re in. No worries…we’re here to help.

Legal-for-Trade scales are intended for commercial use applications, meaning that money is exchanging hands on the basis of the product weight. These scales DO require calibration according to the standards found in “Specifications, Tolerances and Other Technical Requirements for Weighing and Measuring Devices.” This is also known as “Handbook 44.” Basically it’s a rule book, a comprehensive list of requirements that is mandatory for all scales used for commercial purposes. A new version is published every year by the National Institute of Standards and Technology (NIST). Additionally, if you are conducting business within the United States, your business scale must be NTEP (National Type Evaluation Program) Approved.

When you purchase a new scale, it needs to be calibrated for use. Without calibration, the scale is just showing numbers on a display. Scale calibration ensures that the numbers on the display correlate to the actual amount of weight on the scale.

For the purpose of this particular topic, we’re assuming that you are working with a scale that is fully assembled and configured for use. Most scales purchased are “factory calibrated” and for most common low-cost materials/uses (such as checking shipping weights for in-house monitoring of bulk materials or disposal of scrap or waste) – this is close enough, even if the scale is off a bit.

However, depending on the business you are in, you may be required to abide by the state’s commercial weighing laws, or document weighing performance to comply with a custom industrial standard set by an individual business, industry or governmental entity.

Commercial weighing and measuring equipment is defined as follows, according to NIST Handbook 44 and 130: “weights and measures and weighing and measuring devices commercially used or employed in establishing the size, quantity, extent, area, or measurement of quantities, things, produce, or articles for distribution or consumption, purchased, offered, or submitted for sale, hire or award, or in computing any basic charge or payment for services rendered on the basis of weight or measure.”

For example, at the grocery store or deli, your various lunch meats and/or cheeses are weighted on a scale and sold to you at a price determined by that weight. Grocery store or deli scales are great examples of commercial scales. Other common industries which require Legal-for-Trade scales include, but are not limited to: alcohol; produce; livestock feed; firewood; liquid fuel; landscaping materials; precious metals and jewelry; mechanical and construction parts; cars, trucks and auto parts; and medical cannabis.

When selecting a specific scale for your particular business application, there is one important question that you need to address: what is the minimum and maximum weight of the product needed to be weighed by the scale? The minimum weight will inform you of your maximum division size (the accuracy level/readability) of the scale, while the maximum weight corresponds to the scales required capacity.

Regarding Legal-for-Trade calibration, a state Weights and Measures Inspector will follow up with you to make certain that your commercial scale has proper calibration. If yours is found to be out of tolerance, it is “Red-Tagged” and taken out of service. To avoid such problems, you should have your commercial scale calibrated and adjusted regularly to keep it in proper operating order.

Additionally, the surrounding work environment where your scale is located also needs to be considered since areas that contain dust, fluids, or experience vibrations, static electricity or mechanical shock can interfere with the performance and accuracy of your scale.

Lastly, it’s important to note that even the highest quality scale won’t remain accurate forever. If you use your scale several times a day and weekly, normal wear and tear will happen faster than with a scale used only a few times a week. As a result, it will need to be calibrated more often. Also keep in mind that if your business can’t afford to have even the slightest inaccuracy in weight, it is highly recommended that more frequent calibrations take place.

The following are the terms and conditions that make up our Shipping Policies. We encourage you to read these, so you know what to expect regarding your shipment.

Free Shipping orders pertain ONLY to the US 48 Continental States and apply ONLY to Business Addresses with a loading dock and/or forklift.

For HI, AK, out-of-the-country and residential addresses, extra fees will be applied.

Regarding all deliveries, the Customer is responsible to ensure that there are employees present to receive the shipment. Most Less Than Truckload (LTL) drivers do not call. A terminal dispatcher will call ONLY if there is a delivery appointment required.

Consignee/Customer will be responsible for all additional accessory fees including, but not limited to: Limited Access, Remote Access, Residential, Delivery Appointment, Lift Gate, White Glove Service, Re-consignment, Re-delivery and Inside Delivery.

You will receive a Shipment Confirmation email once your order has shipped containing your Tracking Number(s). The Tracking Number(s) will be active within 24 hours.

Customs, Duties and Taxes

PEC Scales is NOT responsible for any customs, duties and taxes applied to your order. All fees imposed during, or after shipping remain your responsibility.

Additional Shipping Information

All orders are generally processed within 2-3 business days. If you order a product that PEC Scales stocks, we can usually ship orders out the same business day if your order is placed before 11AM Pacific Coast Time.

Orders are NOT shipped or delivered on weekends or holidays.

Your order may also be delayed if the product(s) you are ordering are out of stock, or require pre-shipment inspection.

Additionally if we are experiencing a high volume of orders, shipments may be delayed by a few days. Please allow additional days in transit for delivery. If there will be a significant delay in the shipment of your order, we will contact you via email or telephone.

Return Policies

If you receive a defective or damaged item, please CONTACT US IMMEDIATELY at 310/787-4500 with details regarding the product and the problem. Upon receipt of the returned product, we will fully examine it and notify you via email, within a reasonable period of time, whether you are entitled to a refund or replacement as a result of the defect or damage. If you are eligible, we will send you a refund or replacement product. To follow up on the status of your Return, please contact us at the same telephone number as listed above.

Refunds and Replacement Products (if applicable)

We believe in our high-quality scale products so much that if you are not 100% satisfied with your purchase, you may return it to us within 30 days from the date of delivery to qualify for a full refund, or replacement product. However, there are certain terms and conditions that must be adhered to, as explained below. We encourage you to read these, to best determine any of those that apply to your specific situation.

Returns shipped after the first 30 days will ONLY be eligible for PEC Scales Credit (which never expires). After 30 days, all sales are FINAL.

For Customer-Fault Returns (for example, accidentally ordered/purchased by mistake), the cost of the Return shipping will be deducted from the refund. Additionally in some cases, customers will be responsible for Return shipping AND any restocking fees that might be applicable. These amounts will be deducted from your refund.

If your Return is due to shipping damage, you MUST provide photos displaying the harm/breakage. Should the product arrive and you find that it is not working properly, please CONTACT US IMMEDIATELY so our PEC Scales technician can confirm that there is a quality problem. Please note that refunds will NOT be provided for a product with obvious signs of abuse; not in its original condition; is damaged or is missing parts for reasons that are NOT due to our error.

Additional Return/Refund/Replacement Instructions

To be eligible for a full refund or replacement product, all returned items must be in their original packaging (including any accessories, manuals and other documentation that was shipped with the product) and need to include the original packing slip to be accepted. Additionally, please include a copy of your invoice/proof of purchase and a contact phone number with your Return. We do NOT reimburse Shipping or Return Fees.

All Returns MUST include a Tracking Number (USPS, UPS, FedEx, etc.). Please provide us with the Tracking Number for your Return. Failure to do so may delay the processing of your Return or PEC Scales Credit.

Exchanges: We only exchange products if they are defective or damaged. In circumstances where you consider the item defective, CONTACT US IMMEDIATELY with details regarding the product and the problem.

Refunds/Replacements Permitted

Upon receipt of your Return, we will fully inspect it and notify you via email, within a reasonable period of time, whether you are entitled to a full refund or replacement product. If your request is approved, we will refund the purchase price using the original method of payment within 7 calendar days or send you a replacement product.

Refunds do NOT include any shipping and handling charges as shown on the packaging slip or invoice. Shipping charges for all Returns MUST be prepaid and insured by you. You are responsible for any loss or damage to the product during shipment. Additionally, we do NOT guarantee that we will receive your returned item.
